We are currently recruiting for the following role in our Calgary or Toronto Office:  

Manager, National Document Processing

Essential Functions:

People Leadership

  • Establish an engaging, collaborative and creative team environment with open communication, linking between team members and manager.
  • Ensure shifts are adequately resourced, including, approving vacation, scheduling staff overtime/extra-time to ensure adequate coverage in cases of planned and unplanned absences.
  • Leading a team of  National Document Processing Specialists while providing ongoing support and guidance to reach short and long term goals that align with the Firm's objectives
  • Assist with hiring, training, coaching and mentoring of Naitonal DocPro team members
  • Preparing annual performance evaluation appraisals of direct reports and take a proactive approach to managingEmployee Relations matters.

Department Procedures, Client Services Commitment and Quality Assurance 

  • Responsible for department processes that ensure consistent high quality client services, organizing incoming job requests to maintain workload consistency and meet production deadlines
  • Monitor team performance and quality performance standards as established by management ensuring the team understands their duties or delegated tasks and are following internal control procedures, including performing quality work audits. Suggest and implement new and relevant standards and regularly report to Human Resources on team activities, accomplishments and challenges.
  • Perform document production responsibilities and tasks as needed.

Communication

  • Communicate daily with team members to instruct and ensure effective delegation among the team, instructions are understood and adhered to, and deadlines are being met.
  • Communicate with clients to discuss complex assignments, identify expectations, quality of work completed and identify work quality issues.
  • Consult with IT specialists to define application needs for department.

Processes and Practices

  • Continually develop and implement processes to address operational issues and matters of efficiencies as it relates to processes and assignments, complex assignments, ensuring for quality in all work product; evaluate and manage quality identified as poor work product; assist in decision-making concerning staffing, employee performance issues/concerns, recruitment and department events.

Other

  • Assume project/special task duties as assigned by National Manager.
  • Perform other related duties as required.
  • Monitoring department mailbox evenings, weekends and afterhours
  • Other administrative duties as required

Qualifications:

  • Five plus years of supervisory experience in Document Processing required.
  • Minimum 10 plus years of experience in Document Processing in a law firm or other professional services firm required.
  • Administrative Assistant or Legal Assistant Diploma/Certificate an asset
  • Strong technical skills with advanced knowledge of Microsoft Office applications (Word, PowerPoint, Excel, Visio), Adobe Professional, Workshare Compare, iManage, DocXTools and digital transcription software
  • Must possess strong analytical, problem solving, and decision-making skills
  • Strong leadership abilities with the capacity to articulate Firm objectives and uphold a professional environment
  • A proactive self-starter who is highly organized, has exceptional time management skills with the ability to manage multiple projects and deadlines ensuring timely completion
  • Ability to communicate effectively with other Firm members, with the aptitude to take care of clients' needs in a professional and courteous manner
  • Capacity to work independently, as well as in a team environment
  • Produce a high quality work product in tight timelines
  • Able to prioritize and to redefine priorities when necessary
  • Flexible to work overtime when the need arises; May be required to work evenings, weekends and holidays
